How can I monitor terms & conditions and policy pages for changes?

Learn how to track changes to vendor terms and conditions, privacy policies, and subprocessor lists. This helps legal, procurement, and privacy teams catch contract-relevant changes as soon as they're published.

Vendors and suppliers often update their terms and conditions, privacy policies, and data processing terms without notifying customers directly. ChangeTower lets you monitor these pages and get notified when the terms that matter to you change.

Step 1: Collect the policy pages you want to monitor

Common examples include:

  • Terms of service and terms and conditions

  • Privacy policies and cookie policies

  • Subprocessor lists

  • Data processing agreements (DPAs) and service level agreements (SLAs)

  • Acceptable use and refund policies

Step 2: Add your pages

In the left navigation menu, click on New Monitor. Use single-page monitoring for one policy, or Monitor Multiple Pages to import policies from many vendors at once. Our guide to importing URLs walks you through it.

Step 3: Choose how changes are detected

  • Content change monitoring – get notified about any change to the policy text. Best when every wording change needs review.

  • Smart Monitor – get notified only about the changes you care about. Read our Smart Monitor guide to learn how to set it up. For example:

    • Notify me when a new data subprocessor is added

    • Notify me when liability, termination, or payment terms change

    • Notify me when data retention or data sharing language changes

Step 4: Reduce noise

Policy pages often share a header, footer, or navigation with the rest of the vendor's website. Ignore those areas so you're only notified about changes to the policy itself. Our guide to ignoring page elements shows you how.

Step 5: Customize monitor details

In the Details section, you can:

  • Add tags by vendor, contract owner, or policy type

  • Set the monitoring frequency

  • Choose save options – save on every run, or only when changes are detected

Step 6: Route changes to the right reviewer

Create monitors right from your browser

Reviewing a vendor's website and find a policy you should be tracking? With the ChangeTower Chrome extension, you can set up a monitor without leaving the page. Click the ChangeTower icon in your browser toolbar and describe what to watch for, for example "Notify me when a new subprocessor is added to this list."
